Privacy Policy

Premium Warranty Services Co., Ltd. (hereinafter, “PWS”) aims to contribute to fulfilling the lives of its customers and the prosperity of society, as an operating company involved in the defect warranty business. Following this principle, we have made it our top priority to protect and manage the privacy and personal information of our customers and employees (hereinafter, collectively referred to as “personal information”). Therefore, we have established “Basic Rules for Collecting, Using, and Providing Personal Information”, and are striving to reliably practice the following policies.

Initiative Policy

PWS recognizes proper protection and use of personal information as to its responsibility to society, and in the course of doing business shall comply with various related laws, including the “Act on the Protection of Personal Information” and the “Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures”. In addition, PWS shall comply with guidelines issued by related government ministries and agencies, as well as other norms, such as personal information protection management systems compliant with Japanese Industrial Standards “JIS Q 15001”.

Acquisition of personal information

PWS shall acquire personal information with consent, by fair and legal means, within the scope necessary for business.

Purpose of use of personal information

PWS shall specify the purpose of use of personal information, handle it only within the scope necessary to achieve the purpose of use, and shall not handle it beyond that scope. PWS shall also take measures to avoid handling personal information beyond that scope.

Providing personal data to third parties

PWS, as a rule, shall not provide personal data (as defined in the “Act on the Protection of Personal Information”, the same applies hereinafter) to third parties, except when consent has been obtained or in accordance with the law. However, in the event of a merger or when PWS contracts out the handling of personal data within the scope necessary to achieve the purpose of use, then PWS may provide personal data to parties outside the company. Furthermore, PWS shall not provide personally identifiable data to third parties, except for in situations specified otherwise in the “Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures”.

Handling of sensitive information

PWS, as a rule, shall not acquire, use, or provide to third parties any special-care required information (as defined in the “Act on the Protection of Personal Information”) or sensitive information (information relating to membership in labor unions, family origin, registered domicile, health or medical treatment), except in accordance with the law or when consent has been obtained in the scope necessary for the execution of duties.

Management relating to personal data

PWS shall strive to store and manage personal data in an accurate and up-to-date state. Likewise, PWS shall take necessary and proper safety management measures in order to prevent unauthorized access, as well as the loss, destruction, alteration, or leakage of personal information, and in order to take proper measures for making corrections. PWS shall also continuously conduct training for employees who handle personal data, and conduct necessary and proper supervision of employees and contractors (including subcontractors).

Revision and improvements to the management system

PWS shall continuously revise and strive to improve upon its personal information protection management system (Japan Industrial Standards “JIS Q 15001 Personal Information Protection Management Systems – Requirements”) in order to handle personal information in a way that reflects the development of information technology and changes in societal demands.

Procedures for disclosure requests, etc.

PWS shall strive to respond properly and promptly in accordance with the law to requests to announce the purpose of the use or disclose the contents of retained personal data (as defined in the “Act on the Protection of Personal Information”, the same applies hereinafter), as well as requests to correct, add, or delete the contents of retained personal data that is contrary to the truth, and requests to stop using, erase, or stop providing to third parties.

PWS shall strive to sincerely and promptly respond to opinions and requests about its handling of personal information.

Use of the Privacy Mark

PWS has obtained “Privacy Mark” certification from JUAS (Japan Users Association of Information Systems).

The Privacy Mark is a certification system for handling personal information, managed by JIPDEC (Japan Institute for Promotion of Digital Economy and Community). In this system, JIPDEC evaluates companies that have developed a system for taking proper protective measures regarding personal information compliant with Japan Industrial Standards “JIS Q 15001 Personal Information Protection Management Systems – Requirements”, issues a privacy mark indicating their status, and permits the use of the Privacy Mark in their business activities. This is a voluntary system with an objective evaluation done by a third party, and has a framework for protecting personal information with a higher standard than even the Act on the Protection of Personal Information.

Handling of personal information online

  • Safety measures in our online system
    PWS prevents unauthorized external access with a firewall and a 24-hour monitoring system, in order to store and manage customers’ personal information safely.
  • Safety measures for communication
    PWS uses 128-bit SSL encrypted communications to send and receive data including important information entered by customers, and takes the greatest care to ensure that customer information does not fall into the hands of third parties. Due to the characteristics of the Internet, PWS cannot 100% guarantee security during communication.
  • Information protection on linked websites
    When a customer moves from the PWS website to another website using a link, the linked website is not operated by PWS, so PWS is not liable for the protection of the customer’s personal information.

Personal information / retained personal data items

Shared use of customers’ personal data within Premium Group

Premium Group provides a wide range of products and services, while aiming to provide even better products and services so as to meet the demands of customers and affiliate stores in the future. To that end, Premium Group sometimes makes shared use of the personal data of its customers, affiliate store representatives, and other parties, based on Article 23, Paragraph 5, Section 3 of the “Act on the Protection of Personal Information”.

Premium Co., Ltd. (hereinafter, “Premium”) operates the following Customer Consultation Office to accept inquiries, consultations, etc. from customers regarding personal data retained by Premium.

Premium shall promptly respond by its specified methods to requests for disclosure of personal data retained by Premium, once it has been confirmed that the person making the request is the subject of the data. Please note that it may take some time to investigate, depending on the content.

  8. Instances when data cannot be disclosed

    Premium may refrain from disclosing data in whole or in part if the identity of the applicant or their representative cannot be confirmed, or in situations stipulated by the law, or if disclosure would violate other laws and regulations.

  9. Cost of disclosure requests
    • The following amounts will be charged when requests are received for disclosure of data or notification of purpose of use, as fees for requesting disclosure of data or notification of the purpose of use.
      Please pay in cash or postal money order with a fixed amount.

    • As a rule, disclosure reports will be made in writing to the applicant or their legal representative.
    • As a rule, if the disclosure request is made by a mandatary representative, then the disclosure report will be mailed to the person residing at the address notified in advance to Premium.
  11. Handling of personal information acquired when applying for disclosure

    Premium will handle personal information acquired during application for disclosure, within the scope necessary for disclosure procedures. Documents submitted will be stored for a period no longer than 3 years from the time disclosure is completed, after which these documents will be discarded.

  12. Correction, addition, and deletion

    As a result of investigations, if errors are found in the customer’s personal data, then Premium will promptly correct, add, or delete that data.
